Optimising budget and asset management: how the EPFL is responding to its growth with a reliable management tool
Initially, EPFL used Archibus for space management and plans. But in 2020, the university decided to go further: replace its obsolete maintenance and project management tools with a long-lasting, reliable and compliant with Swiss standards solution.
The need was twofold:
- Effectively manage preventive and corrective maintenance, with a reliable inventory of equipment.
- Structure the management of real estate projects, from budget to execution, while respecting compliance rules, particularly in terms of security and ventilation.
From analysis to support: how AREMIS facilitates the deployment of process and information management solutions
Following a very detailed public call for tenders, AREMIS was selected for its technical expertise and its ability to support complex projects.
At the start, we launched a series of thematic workshops with EPFL teams. The objective: confront their practices with the native logic of the tool, identify gaps and make rational choices to maintain a robust, scalable and sustainable standard.
Our experts have:
- Deployed the Archibus “Maintenance” and “Projects” modules,
- Integrated tailor-made tools such as management of danger sheets by local,
- Helped EPFL to review its internal processes, to the point that a 3-month break was decided by the client to reorganize before continuing with the implementation.

Strong adoption: Archibus is today a central daily tool for EPFL technical teams.
- Improved compliance: traceability of interventions and compliance with maintenance deadlines make it possible to respond calmly to regulatory audits.
- Internal reorganisation: the project served as a catalyst to structure roles, decisions and responsibilities.
- Scalability: several modules have since been added (stock, tools, security), proof that the project is alive and continues to provide value.
